Roles & Responsibilities:
Welcome, greets and register visitors, vendors, clients, candidates, customers and inform Appropriate personnel
Keep logbook record of visitors, vendors, clients signing in and out of the office
Manage, monitor and ensure reception, rear entrances of the building area is clean, tidy and projects a business-like image
Answer incoming calls, determine purpose of calls and forward calls to appropriate personnel
Handle mails & deliveries
Assist to provide office supplies (office & kitchen supplies) for staff and maintain adequate stocks; task includes ordering new supplies, identifying new suppliers and obtaining the best price for Alert
Assist in monthly birthday celebration
Assist to supervise the maintenance of office facilities & equipment
On-site preparation for new hires i.e. workstation, access card, welcome email and other local onboarding activity
Handle of processes in collaboration with the payroll vendor such as leaves or employment certificates
Do reconciliation of sick leaves and overtime claims
Provide assistance to employees in completing HR forms for maternity leave, childcare etc.
Partner with the centralized People Team to develop a scalable solution to reduce manual administration of forms for taxes, maternity leave, childcare etc.
Ensure together with Legal Team and HRBP Team that employment agreements are compliant and meet business needs
Partner with mobility and immigration team to ensure compliance with immigration regulations and support immigration processes locally
Qualifications:
Excellent English / Japanese Communication skills
Strong Planning and organizational skills
Some HR experience with Japanese labor law.
Well-developed interpersonal skills
Demonstrated ability to juggle multiple priorities
Professional appearance and manner
Willing to learn & explore
Team player
Computer literacy (e.g. Excel, Outlook)
Punctual
