As an Office Manager, you will play a major role in ensuring our NYC Customer Experience Center (CEC) runs smoothly as well as provide direct support to assigned sales executives. Key skills to be successful in this role are planning, logistics, calendar management, attention to detail, customer service, and most importantly, providing ‘Experiences That Matter’.
RESPONSIBILITIES INCLUDE:
Visit and Event Management:
Greet employees and customers, acting as CEC host. Ensure all customers are checked-in as guests and registered on the security list Refresh meeting rooms during breaks, including clean up. Will be responsible for managing multiple rooms at same time, holding a max of ~90 people in all rooms. Support Sales and Marketing teams in all aspects of the execution of their respective events and activities, including scheduling support, sales tracking, and audio visual and video call assistance for room use and briefings.
CEC Operations Support:
Order, stock, and maintain inventory of gifts and office supplies Maintain the printers to ensure the drawers have paper and the ink is changed. Receive FedEx Packages / Order Supplies as needed Coordinate with Facilities on cleaning and meeting room set-up depending on the needs of the meeting
Coordinate Catering
Partner with Sales and Catering Vendor on requests Assist with set-up and clean-up
Assist with Housekeeping
Reset rooms (ensure chairs and cords are set in place, and room is customer ready) Load/unload dishwasher Clean coffee machine and clear refrigerator Check that the mini refrigerators in the CEC are fully stocked and order more as the stock is depleted Confirm there are clean glasses in all of the conference rooms and replenish as needed.
Executive Staff Support:
Manage calendars by prioritizing schedules and meetings Assist Executives in planning and organizing meetings. May further prepare meeting documents by taking and disseminating notes and formulating post meeting action item lists. Assist in preparing reports, spreadsheets and presentations, applying skills in Word, Excel, and PowerPoint Manage financial aspects including budget tracking and purchase requisitions/orders. Perform other duties or projects as assigned
QUALIFICATIONS
Bachelor’s Degree or equivalent required. 3 + years’ experience supporting senior level executives within a fast-paced global organization. Experience with internal/external events management and/or briefing center experience is preferred. Team player who consistently demonstrates a positive “can-do” attitude. Demonstrated ability to handle confidential information with discretion required. Highly responsive and ability to complete work with limited supervision. Strong attention to detail and a commitment to accuracy. Ability to multi-task and collaborate effectively with teams and peers of all levels. Excellent communication skills, interpersonal skills, and organizational skills required. Proficient with Microsoft Office Suite; ability to learn new systems quickly. Knowledge of Briefing Edge or other executive briefing software preferred but not required.
