The Administrative Assistant is a crucial resource for our success by providing support duties for Compuware's Sales Organization.
Provide high support to the SEMEA Sales Manager : 60%
Create weekly sales reports (meetings)
Create Salesforce reports (leads, opportunities, MRO, Line of products; new reports creation etc)
Track sales progress and territory and provide updates
Organization and follow-up of business planning responsibilities (“Rhythm of Business”: weekly, face to face, Quarterly Business review,)
Ownership of PowerPoints for various management meetings
Share and maintain the information and sales report activity on a dedicated disk driver
Travel organization
Maintain calendar by planning and scheduling meetings
Coordinate logistics for meetings with other executives, employees and customers
Training organization (internal/external)
Maintain calendar by planning and scheduling meetings
Tenders support: ensure administrative specific measures (security – ChamberSign- portal access, filling out forms, connecting with people in charge of it); prepare and mail out documents, meet the deadlines
Ensure administrative documents validity on Public/Private Portals such as Banks in case we have an order
Sales support (for teams in FR, Italy, Spain, Benelux) : 20%
Tender call support (registration of documents)
Workshop organization in terms of logistics (room booking, breaks etc)
Travel modification
Customer training organization
Files and commercial document preparation
Marketing Support: (20%)
Translations (datasheets, documents, invitations)
Event organization (delivery of data sheets, goodies, rolls up)
Advise on event organization (place meeting, restaurant, new ideas, etc)
Printing of documents
Phoning on event registrations
Data base cleaning on Salesforce
Qualifications
2+ years of administrative experience
Extensive software skills, specifically with the Microsoft Office Suite
Experience with Salesforce.com
Skilled in managing multiple calendars for multiple Sales team members
Ability to plan special events
Strong internet research abilities
Strong communication skills
Ability to work with staff in remote locations
Experience supporting Information Technology companies desired
Ability to communicate effectively with a diverse team
Ability to work independently as well as in a team environment
Positive attitude and proven aptitude to learn and grow
Ability to multi task and manage several projects at once
