Your tasks
Assistance
You will assist the CEO and the senior scientific team with administrative tasks such as follow-up on contractual and legal requirements and/or documentation, agenda planning, travel management, managing files and documents storage, translation of documents, answering phone calls, dealing with mail.
Accounting
You will be responsible for ordering scientific material and office material for the team, tracking orders and invoices and making payments, checking the monthly bank account statement, performing the external project billing management, following up on timesheet and grants or CIR yearly budget declaration.
HR
You will be the main point of contact at Biomillenia, you will be posting job offers, adapting contracts, checking the relevant laws and collective conventions, welcoming new employees, getting work permits, checking and tracking holidays, subscribing to insurance, setting-up employee files, dealing with other HR related tasks such as issuing lunch vouchers, making medical appointments, and checking health and safety requirements.
Office management
You will be responsible for the general office management including all aspects of the Biomillenia team, collaborators, suppliers, organizing team building events, welcoming visitors and being the contact for the building manager.
Your profile
As a fluently French speaking person, you are also comfortable and confident in writing and communicating in English as you like to work with an international team and be a point of contact to international scientific and business partners. We work in a fast-paced start-up environment and you will need to work in an autonomous, proactive and adaptable style. Standard expertise in Microsoft Office and other enterprise software is required.
