At Prologis, smooth processes and systems are the key to our success. We’re in need of an office manager with excellent organization skill and a personable disposition to keep them thriving. The ideal candidate has a natural ability to roll with the punches, being flexible to handle anything that might come their way. You’ll be a strong and reliable support to company operations, maintaining and creating procedures, communication, and safety. Not only will your efforts allow us to achieve organizational efficiency, you will nurture the pleasant work environment our people love.

What’s needed in order to do that:

Reception duties, including answering incoming calls and scheduling appointments Answer general emails and postal correspondence with customers and suppliers in a timely manner Develop and maintain positive relationship with all customers, vendors and employees Responsive and flexible to customer needs and requests Provide administrative and travel support to the team Responsible for workstations including the ordering, furnishing, re-arranging desks and equipment In consultation with HR and Hiring manager, prepare necessary onboarding requirements for new employees Collaboration with the IT department regarding the purchase of office (IT) equipment for workstations, meeting rooms etc Coordination of the handyman and external vendors for Office Management assistance, such as routine repairs and supply deliveries Ownership of several internal administration procedures, such as registration of access passes Proactively making and/or suggesting changes to improve the appearance or functioning of the office Responding to requests/complaints/suggestions from co-workers in a diligent, professional and respectful manner Provide support with the coordination and organization of company events
